You can configure metadata fields, which will be displayed or hidden in the Info panel for your teammates according to their roles. To hide some particular fields from a particular role in your team, you just need to click on the eye icon to make the eye closed.

How to set up the required fields for upload?

To keep your library consistent and organized, we recommend configuring Required fields for uploads and revisions, which will be obligatory to fill out every time someone on your team uploads or adds revisions to your Pics.io library.

You can prompt your user to add essential information about your assets right on the step of uploading your content to Pics.io. Required fields bring consistency to your library and give you flexibility in terms of granting each specific user permission based on what they do in your team. Here are the fields you can configure as required in the Roles section of team settings:

  • Comment

  • Title & Description

  • Keywords

  • Assignees

  • Flag

  • Rating

  • Color

  • Any custom field created by you;

To cofigure those fields as required you need to click on the checkbox.

For example, by making the Comment field mandatory, a user with the role in question will have to provide a comment that best describes the updates made to an asset if they upload a new revision. In another context, if your workflow requires constant review and feedback, the Assignees field will come in handy to avoid assets being unassigned after upload.

Depending on the configured default fields, users will be able to continue with the upload process once all mandatory fields have valid values. Fields are displayed on the upload panel and the functionality works best in combination with assigning a unique metadata value to either a single asset or a selection of assets in bulk on the list. This ensures each asset gets the relevant metadata required to be added.
