Custom fields is a powerful feature you can use inside It helps you store all the necessary information about your assets and simplifies your search through the digital library.

To manage сustom fields, choose this option in the Settings menu on the main screen.

When you click on it, you will see a list of fields which carry information about your assets. 

By default, there are EXIF fields here. Metadata is automatically parsed into the corresponding fields according to the specific set of rules of handling metadata.

In addition to default meta fields, you can create your own fields to meet the specific needs of your organization and workflow.

How can I create my own custom fields?

To create your own custom fields, just go to Settings -> Custom Fields.

Choose a place and mouse over a line between existing metadata fields. A plus button will appear that will let you create a new custom field. 

'Create new custom field' button is also located at the top row of every group.

Enter the name and description (optional) for your new custom field and select the type of your custom field. This depends on the type of information this field is expected to contain.

There are basically 5 types of custom fields: 

  • Text  - only textual information (e.g. SKU: Faux leather biker jacket)

  • Checkbox - Yes or No answer (e.g. Fabric stretch: Yes/No)

  • Date - date in the format MM / DD / YYYY (e.g. Date of photo shoot: 09 / 30 / 2018)

  • Number - only figures in this field (e.g. Price in EUR: 30)

  • List - only textual information for the 'Name' field and text or figures in 'Item' fields (e.g. Location: USA/Europe/Australia

  • Multiple options list - click on the "Allow multiple selection", so you and your teammates can select multiple options in the custom field with the List type.

How to create a group of custom fields?

Sometimes you need to create a group of custom fields with to keep related information together. To do so, click on the 'Create New Group' button at the top of the page, type the name of a new group and add a description (optional).

Also, it's possible to mouse over the line between two groups and click on the button to create a new group.

How can I search for a custom field?

It is possible to search for the definite custom field. At the top of the 'Custom Fields Schema' screen just type the name of a custom field in the search window. 

Is it possible to hide unnecessary metadata?

Sure, you can select the visibility status of your custom fields. It is done with the help of the eye icon next to the custom field.

There are three visibility states available for custom fields:

  • Visible

  • Hidden

  • Hidden while empty status

NB! Please note that depending on your role in the team, you may not be allowed to edit custom fields schema. If this is the case, turn to your team owner and read more about team roles here

It may happen that a new group 'Custom fields' appears. It's created automatically when you move a custom field outside the current group. Right after you move the fields which belong to this group to another one or just delete them, 'Custom fields' group will disappear.

How can I rearrange the order of my custom fields?

You may drag'n'drop your fields to change their order in the way which suits you best. For example, you may want to place more important fields at the top.

How can I manage the created custom fields?

In case you need to update the existing custom field (change type, visibility or description), mouse over the necessary field and click on the pencil icon next to the name. You can also delete a field by clicking the “cross” button next to its name.

NB! It's not possible to edit the name of a custom field or a group.

Where can I enter actual information in my custom fields?

To enter information about the asset in the newly-created fields, you should open your asset inside On the right-hand side of the main screen you will see Infopanel where you can find all important information related to the asset (title, description, keywords, assignees, etc.). If you scroll down a bit, you will find EXIF metadata fields and the custom fields that you created.

How does save my metadata?

When you sync your assets to Google Drive, all information you entered in custom fields is saved within your asset. It remains available even after you download your asset and work with it outside, e.g. in Lightroom or in a similar service.

Can I migrate my custom fields schema?

Yes, you can. Once you have configured your custom fields schema in, you can migrate it to a different account. Here's what you should do:

  • Go to Settings - Custom Fields

  • Find import and export button in the top left corner of the screen with your current custom fields schema

  • Press export and your custom fields will be downloaded as a separate file to your device.

  • Open a different account in where you want to migrate your custom fields.

  • Press import and the custom fields will be replaced.
