Sometimes you need to share not just one file, but a large number of assets with your external collaborators — without creating a website (shared collection).
For example:
You need to quickly distribute a batch of approved files to a contractor.
Your team wants to send a reviewer a curated set of images for approval.
You want to update sharing settings for several assets at once.
For these purposes, Pics.io now provides a Bulk Sharing feature — a fast and straightforward way to share, update, or unpublish multiple assets simultaneously.
How to Share Multiple Assets
There are several ways to start bulk sharing:
1. From the Details Panel
Select several assets (more than one).
Open the Details panel.
Scroll down to find the Share block.
Toggle the Share switch.
A modal will appear offering two options:
Click Share multiple assets to open the Bulk Sharing Settings page.
NB! The Export CSV field appears only if at least one asset in your selection is already shared. If none of the assets are shared, the CSV export input will be hidden.
2. From the Bottom Action Toolbar
Select the assets you want to share.
Click the new Share icon in the bottom toolbar (replacing the previous globe icon).
Then choose Share multiple assets from the modal that appears.
This will redirect you to the Bulk Sharing Settings page.
Bulk Sharing Settings: What You Can Do
Once you're on the Bulk Sharing Settings page, you can configure how external users will interact with your selected assets. When you first open the page with multiple assets all visibility settings and checkboxes are disabled by default.
This page includes:
Link visibility controls
Download permissions
Commenting permissions
Metadata visibility settings
Sharing domain selection
NB! By default, Pics.io applies the Pics.io domain to the entire selection (even if some assets were previously shared using a custom domain). You can switch to another domain if needed.
Bulk Sharing Scenarios and Available Actions
Depending on the sharing status of the selected assets, Pics.io will show different actions.
When your selection includes a mix of shared and non-shared assets, the Details panel toggle remains off, and the Bulk Sharing page displays the Update & Publish button, with the Unpublish option hidden since not all files are currently shared.
This scenario allows you to publish any remaining unshared assets while also updating the sharing settings for all selected items at once.
NB! The logic works similarly to bulk CDN publishing: to unpublish everything later, all assets must first be brought into a shared state.
When all selected assets are already shared, the Details panel toggle switches to on, and the Bulk Sharing page displays only the Unpublish or both Update & Publish and Unpublish options if you adjusted the sharing settings for the selection (changed the domain or updated the permissions).
In this state, you can update the sharing settings for all assets or unpublish all of them at once. The Unpublish action becomes available only when every asset in the selection is currently shared.
Assets With Restricted Sharing Permissions
Some assets may belong to collections where sharing is restricted by collection-level permissions. If such assets are included in your selection and you try to share them by clicking the Publish or Update & Publish buttons on the Bulk Sharing Settings page, you will see the Update and Override Sharing Settings modal, which shows:
Which assets cannot be shared
Why they are restricted (collection permissions)
That these restricted items will not be published
You can then choose to proceed or cancel.
Bulk Sharing in Pics.io lets you share multiple assets at once, update their visibility and access, unpublish all shared assets, and export sharing data via CSV. This feature is perfect for teams who need a quick and simple way to share and manage many assets at the same time.
