Adding, moving and removing assets across collections

Learn how to add and remove assets from multiple collections in Pics.io while keeping only one original asset across your library.

In Pics.io, managing your digital assets efficiently is key to streamlining your workflow. One essential aspect of asset management is the ability to add, move and remove assets across collections. In this article, we'll delve into how this action is implemented in Pics.io, its functionalities, and how it can enhance your asset organization process.

Adding assets to multiple collections in Pics.io:

When you add an asset to a secondary collection in Pics.io, the platform creates a type of shortcut similar to those in Google Drive. Essentially, this means that while the asset appears in two collections within Pics.io, it retains only one original location on Drive.

To add your asset to a secondary collection you can Drag and Drop selected assets to the needed collection, use the Add to collection button in the bottom toolbar, or use the folder icon in the Details panel.

When attempting to Drag and Drop assets to another collection, Pics.io will display a pop-up window presenting two options:

  • Add to collection: This option adds the asset to a secondary collection while maintaining a single version of the original asset in its original collection. This means that there is still only a single version of the asset, so if you delete it from any of its locations using the Trash icon, the asset will be deleted from all other collections.

  • Move to collection: This option relocates the original asset to another collection.

Removing assets from collections in Pics.io:

To check which collections your assets are added to, select the desired assets, then navigate to the Details panel on the right side of the screen. Scroll down to the Collections section, where you will find a list of all collections the asset is currently added to.

There are 3 different ways to remove assets from collections:

  • click on the cross button next to the respective collection in the Details panel;

  • click on the Remove from collection button on the bottom toolbar;

  • click on the Remove from collection button on the thumbnail of the asset:

NB! The Remove from collection button is only available when one asset is selected. If you've selected multiple assets, please use the Details panel on the right side of the screen to remove assets from secondary collections.

In summary, there are four actions you can perform with your assets:

  • "Add to a collection" means including an asset in an additional collection while retaining its presence in previous ones. There is still only a single version of the asset, but it displays in multiple collections.

  • "Move to collection" means transferring an original asset from one collection to another, meaning the asset will be located and displayed only in one collection.

  • "Remove from collection" by clicking on the cross button removes an asset from a specific collection while keeping the original asset in the library.

  • "Move to trash" means deleting an asset from collection, and removes an asset from all collections throughout the library.

Why aren't files added to multiple collections in Pics.io showing up in Google Drive?

When creating a shortcut from Google Drive, you can select a file or folder and utilize the "Add shortcut to Drive" option. This action generates a link to the selected item without duplicating the original file or folder. It's important to note that creating a shortcut in Google Drive will reflect the linked item within the Pics.io interface, facilitating easy access to files managed through Google Drive.

Within the Pics.io platform, adding assets to different collections means displaying them in multiple collections, while keeping only one original file that is stored in Google Drive. However, it's important to note that unlike the two-way connection seen with Google Drive's shortcuts, adding assets to multiple collections in Pics.io doesn't reflect back in Google Drive. This means that although the added asset is visible within the Pics.io interface, it won't appear in the corresponding folder structure of Google Drive.

While both Pics.io added assets and Google Drive shortcuts serve the purpose of displaying an asset in multiple places, they have distinct characteristics and functionalities. Understanding these differences can help optimize your asset organization process within Pics.io.

In summary, adding and removing assets in Pics.io offers a versatile solution for managing your digital assets across different collections. By leveraging these functionalities, you can effectively organize your assets and streamline your workflow, ultimately enhancing productivity and collaboration within your team.
