Advanced Filter Panel in Pics.io: A Comprehensive Guide

Discover how to streamline your searches in Pics.io using powerful filters and operators for smarter asset management.

Written by Akinai Alieva

The filter panel in Pics.io is designed to streamline your asset management by refining searches quickly and efficiently. Whether you're searching for a specific asset or organizing your library, this filter panel allows you to customize search filters to match your workflow, saving time and improving accuracy.

Take a quick look:

Customizing the Filter Panel

By default, commonly used filters such as Type, Filename, Keywords, Description, Color, Rating, Share Status, Person, and Comment text are displayed at the top of the panel.

NB! To search by multiple filenames, simply enter the first filename, add a space, and then type the next filename.

However, each user can customize the order and visibility of filters to suit their needs. These changes are saved individually, ensuring they don't affect other team members.

To customize the panel, click the 'Add more filters' button in the top-right corner. From there, you can add filters or rearrange them using drag-and-drop to set your preferred order.

The advanced filter panel in Pics.io can be expanded or collapsed to fit your workspace needs. Expand it to apply detailed filters and refine your search, then collapse it when you need more space in your interface. This way, you can keep your workspace organized without losing quick access to filtering options.

Using Custom Metadata as Filters

The filter panel in Pics.io enables precise searches across various fields, much like the Broad Search. But what makes it particularly powerful is its ability to search in embedded metafields (such as EXIF, IPTC, or JFIF data), as well as in your own custom fields using an extensive variety of search operators.

To access these options, locate the 'Add more filters' button at the top right of the filter panel, then click on the 'Add filters' button.

You'll see the dropdown menu with all the available filters. The custom metadata filters are labeled with a "meta." prefix.

NB! The list of custom fields is shared across the team, ensuring consistent filtering options.

Search Operators

The filter panel supports specific search operators for each filter type, helping you refine your queries for precise results. Here's an overview of the available operators:

List Type

  • Is Any Of - Matches any of the selected values from a list.
Example: Searching for assets with the tag Is Any Of "Lion, Tiger, Bear" will return assets tagged with any of these animals.

  • Is All Of - Matches assets that contain all the selected values from the list.
Example: Searching for assets tagged Is All Of "Lion, African" will return assets tagged with both "Lion" and "African."

  • Is None Of - Excludes assets that match any of the selected values from the list.
Example: Searching for assets where the tag Is None Of "Dog, Cat" will return assets that are not tagged with "Dog" or "Cat."

  • Is Set - Matches assets that have any value in the list or field.
Example: Searching for assets where Keywords Is Set will return all assets that have any keywords.

  • Is Not Set - Matches assets that do not have any value in the field.
Example: Searching for assets where Keywords Is Not Set will return assets with no keywords.

  • Is Any Of… Except All Of… - Shows assets with either "Dog" OR "Cat" AND without "Lion" AND without "Bear".

  • Is Any Of… Except Any Of… - Shows assets with either "Dog" OR "Cat" AND without "Lion" OR "Bear".

  • Is All Of… Except All Of… - Shows assets with both "Dog" AND " Cat" AND without both "Lion" AND "Bear"

  • Is All Of… Except Any Of… - Shows assets with both "Dog" AND " Cat" without "Lion" OR "Bear".

NB! The operators "Is Any Of… Except All Of…", "Is Any Of… Except Any Of…", "Is All Of… Except All Of…", and "Is All Of… Except Any Of…" are only available for List Type filters where the asset contains multiple values.

If an asset has only a single value, the only applicable operator from this group is "Is Any Of… Except Any Of…".

Text Type

  • Is - Matches assets with an exact value in the field.
Example: Searching for assets where "Description" Is "Golden retriever playing in the park" will return assets with exactly this description.

  • Is Not - Matches assets that do not have the specified value.
Example: Searching for assets where "Comment" Is Not "Final version" will return assets that do not have the comment "Final version."

  • Contains - Matches assets containing the specified snippet of text anywhere in the field.
Example: If you enter "port" in the search field, assets whose descriptions or comments contain words with "port" in them (e.g., "report," "support," "airport," "portfolio") will be returned. This allows for a broader search of any word containing the snippet.

  • Starts With - Matches assets where the field value starts with the specified snippet.
Example: If you enter "sup" in the search field, assets whose descriptions or comments start with words like "support," "super," or "supplier" will be returned. This helps refine searches when you're certain about the start of a term but not the full word.

  • Ends With - Matches assets where the field value ends with the specified snippet.
Example: If you enter "ing" in the search field, assets whose descriptions or comments end with words like "training," "marketing," "editing" will be returned. This operator helps find all assets with words that end in a specific sequence.

  • Is Set - Matches assets where the field has any value assigned.
Example: Searching for assets where "Description" Is Set will return all assets that have a description filled in, regardless of the content.

  • Is Not Set - Matches assets where the field does not have any value assigned.
Example: Searching for assets where "Comment" Is Not Set will return assets with no comment text.

We’ve introduced a new Document text filter in the Advanced Filter Panel to help you search through the full content of your document assets.

Once added via the Add filters modal, this filter offers three powerful search operators:

  • Ends with – Finds documents where the content ends with the entered text.

Why Use the Advanced Filter Panel?

The filter panel in Pics.io combines the best features of both the legacy Broad Search and the advanced search syntax into one streamlined tool. While Broad Search allowed general searches across asset fields, the filter panel enhances this by adding powerful search operators and the ability to filter through embedded metadata and custom fields.

This easy-to-use panel improves search speed, accuracy, and overall asset management efficiency.

Feature Availability

This panel is available only on the latest version of our plans. If your billing page displays the message "You are subscribed to the plan that was discontinued," this feature will remain unavailable until you upgrade. To ensure you have access to the latest functionality, please reach out to our support team at support@pics.io for assistance with upgrading.

What happens to my Saved Searches from the legacy Broad Search once I upgrade my plan?

Your saved searches will remain intact and fully functional in the new version of the filter panel. Upgrading to the latest version of the subscription plan will not affect your existing saved searches — they will continue to work just as before.

Moreover, you can take advantage of the Visual Search functionality that allows you to search for your assets based on the actual visual content of images instead of metadata.
